Record the details
your organisation needs.

Custom fields let you add information to animal and contact records. Create a dropdown for an animal’s diet, a date for its next review, or another field that fits your work.

Choose fields for each animal type

Each animal type has its own field settings. You can keep information relevant to that species, such as a cat’s ear-tip status, without adding the same questions to every animal’s form.

  • Manage fields by animal type
  • See the default fields and the fields your team has added
  • Organise fields into sections such as medical information or behaviour

Adapt the default fields to your terminology

The animal-field settings let you edit the fields included with Pawsies. Use names your team recognises and hide fields you do not need.

  • Rename default fields
  • Hide unused fields
  • Choose which fields to show in list view

Choose how information is entered

Give a field a name, select its format, and choose where it belongs on the record. For example, a diet dropdown gives your team a consistent set of choices, while a text field allows a written answer.

  • Choose text, number, date, yes/no, dropdown, multiple choice, colour or linked record
  • Write the choices for dropdown and multiple-choice fields
  • Place animal fields in the relevant section of the form
  • Set filtering and list-view options separately

Link to an existing contact, animal or location

A Linked Record field lets you select a record already in Pawsies. For example, an Owner field can link an animal to a contact, so your team can find the owner’s details from the animal’s record.

  • Link to contacts, animals or locations
  • Limit contact choices to a particular role
  • Limit animal choices to an animal type or list
  • Allow one selection or several

Add fields for different contact roles

Create fields for all contacts or for a particular role, such as adopters or sponsors. For example, you could add an adopter-specific field for the date of a home visit.

  • Use shared fields for all contacts
  • Add separate fields for adopters, collaborators, contributors and sponsors
  • Choose a suitable format for each field

Show follow-up questions when they are relevant

Set a condition that controls when a field appears on the form. For example, show an Owner field only when the answer to Has an owner is Yes. Your team sees the follow-up question when it applies.

  • Base visibility on another field’s value
  • Check for a matching answer, an empty field or an existing value
  • Combine conditions for more specific situations

Use the information you collect

Filter animal records

Enable Show as filter for a field you want to use to narrow down the animal list. Your team can then find animals using that information.

Build Smart Lists

Use supported custom fields in Smart List rules. For example, a dropdown for diet could help you group animals that need the same food.

Choose what visitors can see

Public-list sharing has separate visibility settings for custom fields. Review these settings when sharing a gallery, and select the information you want visitors to see.

Set up the field once, use it across your records

Define a field for an animal type or contact role, then enter the appropriate value on each record. Your team uses a consistent format, and you decide which fields to use for filtering, list display and public sharing.
